Ethical Trading Policy

The aim of this policy is to communicate the commitment of the Directors and Senior Management Team to the promotion of ethical trading within Server Room Environments Ltd.
Server Room Environments requires ethical behaviour in all our relationships & tolerate no form of bribery / corruption; We promote openness & transparency never to engage in any form of unethical inducement / payment including facilitation payments, ‘kickbacks’ and non-competitive practices.
With the volume of public sector work undertaken our ability to comply with the Bribery Act & guidance incl. UKCG’s Code of Conduct is essential and a business priority. Measures to ensure this are captured in our Ethical Trading Policy & ISO 9001 accredited processes.
Our staff code of conduct encapsulates the Act’s provisions, our ethical trading policy & customer care procedures into employment contracts. All staff are inducted on this code & the Act with annual refresher training. Failure to comply with the code results in summary dismissal.
The Company regularly & systematically maps bribery & corruption risks, applying robust prevention procedures including:
- ’Full disclosure’ ‘gifts’ policy, with all gifts used as inducements / bribes rejected as part of our commitment at every staff level to never offer, promise / pay bribes to anyone or request, agree to accept / receive bribes.
- Robust initial supply-chain approval procedures.
- Rigorous & open supply-chain selections, and use of multiple references. All firms must have controls & procedures such as staff, operatives & supply chain codes of conduct to match our own.
- The Projects Director reviews all supply-chain payments & terms to ensure they are reasonable & appropriate.
These measures ensure all business partners are fit to do business with. To ensure staff & third parties understand our commitment we share our policy & procedures to staff, supply-chain firms & partners using newsletters, notice board flyers, email reminders & awareness raising sessions.
This zero-tolerance approach is applied by our Projects Director, using random spot checks, press reviews & six-month checks.
This policy is reviewed annually by the directors and management team or sooner if appropriate.
